We’re hiring a Documentation Classification Specialist to support a US-based tax services organization by managing document sourcing, review, and classification workflows that ensure tax returns move forward accurately and on time.
If you’re detail-oriented, process-driven, and comfortable working with structured workflows and customer documentation, this role is your opportunity to play a critical role in a high-volume, compliance-focused operation. This is a fully remote, Philippines-based opportunity, supporting US teams during night-shift hours and collaborating across time zones in a fast-paced, service-driven environment.
Role Summary:
As the Documentation Classification Specialist, you’ll manage the end-to-end document readiness process for individual and business tax engagements. You’ll review incoming submissions, source missing documents, validate completeness and accuracy, and ensure all requirements are met before cases are routed to tax professionals.
You’ll be a key quality gate in the tax preparation lifecycle, combining attention to detail, clear communication, and strict adherence to process to support timely, compliant tax delivery.
Key Responsibilities - Tax Document Handling, Sourcing & Classification in the CRM
Work in the client’s CRM queues to manage incoming client and customer submissions.
Document Sourcing:
Retrieve files from emails, client uploads, portals, and internal repositories.
Identify missing documents based on the type of tax request (individual or business).
Proactively source the required forms or information by coordinating with clients or internal teams.
Document Classification:
Review and categorize documents such as W2s, 1099s, P&Ls, Tax Organizers, IDs, service agreements, etc.
Validate accuracy, completeness, and alignment with tax preparation requirements.
Confirm correct tax year, document type, and client information.
Verify whether accounts are properly set up (service agreements signed, onboarding steps completed, packages purchased).
Review account history and status to determine readiness for routing to a tax professional.
Ensure that all internal processes are followed before approving a request to proceed.
Maintain organized documentation and accurate classification notes in the CRM.
Collaboration & Communication in a Remote US Tax Environment
Communicate with clients through phone, email, SMS, and the customer portal to request missing or corrected documents.
Clarify document requirements and guide customers on what is needed for their tax return.
Coordinate with internal teams to confirm account issues, document concerns, or service eligibility.
Log all communication and actions taken to ensure full visibility for tax specialists and leadership.
Continuous Improvement & Compliance
Follow structured workflows and checklists that ensure accuracy and compliance.
Identify incorrect, unreadable, or mismatched submissions and take corrective steps.
Support quality improvements and updates to the sourcing and classification process.
Maintain confidentiality, data security, and compliance at all times.
Participate in training and calibration sessions to stay current with tax season updates and procedural changes.
Must-Have Qualifications:
• 1–2 years of experience in document review, administrative processing, customer support, or back-office operations.
• Excellent written and verbal English communication skills for US client interaction.
• Strong attention to detail and ability to follow structured workflows and checklists.
• Ability to analyze tax-related documents, system notes, and account requirements.
• Comfortable working with multiple tools, queues, and processes in a remote environment.
Nice-to-Have Skills:
Experience in a US tax environment (individual or business) is a strong advantage.
Understanding of basic US tax documents such as W2, 1099, Schedule forms, P&L statements, and tax organizers.
Knowledge of document classification, document sourcing, and tax preparation requirements.
Familiarity with Salesforce or other CRM systems.
Experience validating service agreements, onboarding steps, or account setups for US clients.
Reporting Line and Working Pattern:
• Reports to: Tax Operations Lead
• Fully remote, Philippines-based
• Night shift aligned with US business hours
